Faster Editing of Worklogs

Mistakes happen. Changes are needed. Edits are inevitable. Accurate worklogs are critical when managing a project or preparing an invoice for a customer. If you’re the person who does the Tempo housekeeping for your team or project, you’re probably not the person who has time to sift through countless issues in Jira to correct worklogs.

To save time (and your mouse), consider using Tempo Timesheet Reports to create a multi-issue editing interface. From a customized report you can quickly edit key worklog values for multiple issues without needing to go into each issue individually.

To access the report for editing purposes in your Jira instance:

  1. Go to Tempo on the Jira navigation bar.

  2. In the Tempo sidebar on the left, select Reports.

  3. Open the Logged Time report.

To edit from the report you need to:

  1. Set the date range that contains worklogs you want to edit

  2. In the ‘Filter by’ field, you can select any of the criteria from the drop-down list or use your own saved JQL filter to get as specific as you want.

  3. In the ‘Group by’ field, select Worklog as a minimum requirement from the drop-down list.

  4. Set the view to List View (Jira Server) or Overview (Jira Cloud) to allow editing in each worklog cell.

 

With your data fields set out in front of you, hover over any worklog entry and note that the pencil icon (see above) appears. Click the value in the cell and make the required changes to your entry.

Need to reduce the billable hours on an issue? No problem. Need to change the date of any entry? Go ahead. Missed a few hours of logged time? Add them now.

While this process is not bulk editing, it does provide a way to edit multiple worklogs from a single window. For busy project managers and team leads, this can save a lot of time at the end of a billing period.

Troubleshooting:

 

If you’re in the Logged Time Report and you are not seeing worklog entries or you are unable to edit attributes such as billable hours, check the following:

 

Permissions: You need to have the Browse Projects, View All Worklogs, and Edit All Worklogs Project permissions.

 

Scheduler: Ensure that the period of time you want to edit has not closed. Approvers can edit the last closed period, but reporting periods older than that are closed for editing.

 

A Real Life Use Case

Editing Work Logged Against Closed Issues

 

Occasionally, you may find yourself in a situation where you need to move a worklog to a different issue - in our case, time was logged against a closed issue.

 

To move the worklog to the correct issue, follow the steps above to open your Logged Time report.

 

Use a saved JQL filter to drill down to the issues you want to move. In our case, we created a filter to find recently edited worklogs associated with closed issues. Your needs may differ, but setting ‘Resolution Is Not Empty’ will show you closed issues.

 

On the row you want to edit, click the three dots (More) options at the right end.

 

From the Search Box that opens, find the issue to which you want to move the worklog, or use a JQL filter to quickly access the correct issue.

 

 

Click OK and note from your report showing worklogs entered against closed tickets has been removed from the list.
