Closing Timesheets for editing

This article is for Cloud, Server and Data Center.

In Timesheets by Tempo , there are 3 ways to close a Timesheet for editing

  1. Period Management:

Closing a period in Period Management is designed as a “final” closure when all users have finished logging their time, and no more changes should be made. Closing periods is done manually, and you have the option to either close for all or leave them open for Approvers (Cloud:https://help.tempo.io/timesheets/latest/closing-and-opening-timesheet-periods-manually, Server/DC: https://help.tempo.io/timesheets-dc/latest/manually-opening-and-closing-timesheet-periods-tem).

When using the Tempo Scheduler or the Approvals option, the period needs to be open in Period management when giving users a grace period or rejecting/reopening the Timesheet when users need to make additional changes. The Period management setting overrides any other option to make the Timesheets editable again (grace period, rejecting/reopening)

2. Tempo Scheduler

The Tempo Scheduler allows closing Timesheets for editing. This does not affect the setting in the Period management (Cloud:https://help.tempo.io/timesheets/latest/configuring-the-scheduler-for-email-reminders-and-, Server/DC: https://help.tempo.io/timesheets-dc/latest/configuring-the-tempo-scheduler-tempo-server).
To re-open the Timesheets of a user, the Team lead/user with “Approve Timesheets” permission for the team can give a grace period, so the necessary changes can be made. (Cloud: https://help.tempo.io/timesheets/latest/granting-a-grace-period-to-team-members, Server/DC: https://help.tempo.io/timesheets-dc/latest/granting-a-grace-period-to-team-members-tempo-serv).

This requires the period to be open in Period Management and the Timesheet to be in “Open” or “Ready to submit” status (not submitted or approved).

3. Timesheet Approvals

Team leads / users with Approve Timesheets permission for the team can approve or reject the Timesheets for their team members (Cloud: https://help.tempo.io/timesheets/latest/timesheet-approvals, Server/DC: https://help.tempo.io/timesheets-dc/latest/timesheet-approvals).
When a user has submitted his Timesheet for approval, he can no longer edit it. To make it editable again, his team lead has to reject/reopen it.
The Timesheet will then only be editable again when the period is open in the Period management and the Scheduler has not closed the period.
