How to manage Team members that are inactive in JIRA

Answer | When a user is de-activated in JIRA, the user membership's leave date to all teams will automatically be set to today. When a user leaves the company and gets deactivated in JIRA, it is recommended to set a leaving date for this user in his team(s). The user is then an inactive member in the team and his worklogs will show in the Team Timesheet when viewing timeperiods, when he was active in the team. In case you are using the Timesheet approvals, please make sure to submit and approve this users Timesheet before deactivating him in JIRA ( de-activated users can not be selected in dropdowns, so it is good to finish this users issues like approvals before he is deactivated). In case the user is only on a temporary leave and will come back to the same job within the same team, it might not be necessary to set a leaving date. In case the user is on paid leave, he should log time against a "paid leave" ( f.x. Vacation, Parent leave) JIRA issue before leaving. His Team lead can then submit and approve the future Timesheets (in case you are using approvals, submitting future Timesheets can only be done by the team lead or a user with Approve timesheet permission). His team lead has then the information that this team member is out of office for the logged period and his hours are approved. In case of unpaid leave, setting a leaving date is useful. You can then set up a new membership for this user, once he returns, by using a start date. |
