Repeating Plans in the Resource Planner - Tempo Cloud

Sometimes you need a plan to repeat at regular intervals, such as once a week. For example, you may want to repeat a plan of 1 hour every Monday morning to schedule your work and meetings for the upcoming week. To save you the effort of creating this individual plan every week, you can create a repeating (recurring) plan.

A parent plan is the first plan of a repeating series and child plans are the subsequent plans that follow. 

To create a repeating (recurring) plan:

  1. Create a plan in any way you like.

  2. In the Plan Time form, select one of the Repeat options: Weekly or Bi-weekly (every other week). 

  3. Set the Until date (inclusive) for when you want this plan to stop repeating. 

To create a repeating period plan:

You can also repeat period plans which span over multiple days. For example, you may want to create a plan for 30 minutes every Tuesday, Wednesday, and Thursday afternoon to touch base with your teams.

  1. In the Plan Time form, select the Period checkbox.

  2. Set the start date (Dates) and the end date (To) of the period. 

  3. Select one of the Repeat options: Weekly or Bi-weekly (every other week).

  4. Set the Until date (inclusive) for when you want this plan to stop repeating.

Editing Repeating Plans

You can edit a repeating plan in two ways:

  • Make changes that affect all the plans in the series.

  • Make changes to the selected plan and upcoming plans in the series.  

You can't makes changes that affect only an individual child plan.

To edit all plans in a repeating series:

  1. Click any repeating plan in a series:
    - If you click the parent plan, the Edit Plan or Edit Period Plan form opens.
    - If you click a child plan, the View Plan form opens so that you can see the Plan details.

  2. Check the All plans in this repeating series box.

  3. Make the changes you want, and all plans in this repeating series are updated with these changes.

In this example, Catherine selects a child plan to avoid scrolling back to find the parent plan. In the View Plan form, she checks All plans in this repeating series which opens the Edit Period Plan form. She decreases the Planned time from 8 to 4 hours, so now all plans in this repeating series are for 4 hours.

To edit the selected plan and the upcoming repeating plans:

  1. Click any repeating plan in a series:
    - If you click the parent plan, the Edit Plan or Edit Period Plan form opens.
    - If you click a child plan, the View Plan form opens so that you can see the Plan details.

  2. Check the This and upcoming plans box.

  3. Make the changes you want, and the selected plan and all upcoming plans in this repeating series are updated with these changes.

In this example, Catherine selects a plan for Feb 23. In the View Plan form, she checks This and upcoming plans which opens the Edit Plan form. She increases the Planned time from 2 to 3 hours, so now this plan on Feb 23 and all upcoming plans in this series until May 16 are for 3 hours.

To extend or reduce the time range of a repeating plan:

Click the parent or child plan and make any of these changes:

  • Edit the Date field so that the start date is earlier. This updates all existing repeating plans in this series with the new date.

  • Edit the Date field so that the start date is later. This deletes the previous repeating plan and creates a new one with this start date.

  • Edit the Until date so that the repeating plan ends earlier or later. This updates all existing repeating plans in this series with the new date.

  • Drag or move the parent plan to change the start date or length of a plan. 

For example, Catherine wants to start her weekly repeating plans at a later Date - from April 7th to April 9th - and increase the planned time from 2h to 4h.

To do this, she clicks on the parent plan and changes the Date to April 9th. The original parent plan is removed, and the new parent plan with the updated planned time of 4h will appear on April 9th and repeat every week until the end of the period. 

Deleting Repeating Plans

To delete a repeating plan:

  1. Click the (...) in the corner of the parent plan of the repeating series and choose Delete, or click the "x" in the corner of a child plan. 

  2. Choose what you want to delete: 
    All plans in this series.
    or
    - The selected plan and upcoming plans in this series.
    You can't delete an individual plan in a repeating series.

  3. Click Delete to confirm.
