Adding Generic Resources To Teams
The generic resources in Teams works in conjunction with generic resources in Planner.
Generic resources in Teams are created as placeholder members joining a team until a team member replacement is found. They behave as users except that they don't have assigned roles or a duration of service and they are not included in Tempo reports. Generic resource plans don't require approval.
Assign a Generic Resource to a Team
You need to have Tempo Team Administrator or Manage Team on All Resources Role access permissions to be able to add generic resources to a team.
In this topic, Manage Team permission on All Resources is referenced by Global Manage Team/All Resources (Full) permission. Team members without these permissions are only able to view generic resource members.
You can create a generic resource in Tempo Teams and in Planner. When a new generic resource is created, it becomes available globally to Teams and to Planner and can be assigned to multiple teams or can also be independent of any team.
To assign a generic resource to a Tempo Team, you must create one or search for one that was previously created for this purpose, then add it to the Team.
To add a generic resource to a Tempo Team:
Select Teams in the Tempo sidebar to open the Teams page.
Select a team from the list of Teams.
If you are a team lead or a user with Manage Team permissions for this team, you can add or assign a generic resource. A Full or All Resources Role access permission allows you access to all teams. Users without these permissions can only view generic resources.
In the team overview, select the three dot (...) button.
Select Add Generic Resource.
In the Create or Search field, type a new name to create it, or search and select one from the matching list.
As you type the new name, a dynamic search lists the names that match the generic resources not yet assigned to this team. You can select one name from the list or select Create ' ' to create a new one.
The same generic resource can only be added once to the team. During the search, generic resources that have already been added to the team are not included in the results.
In the Add Generic Resource window, make your selection.
When creating a new generic resource, user role and set dates are not used. Generic resources are intended to be added and removed from teams on demand.
Select Save when done.
- The new generic resource is created and assigned and can also be assigned to other teams. Team permissions are now applied to the generic resource, just like team members.
The View Plan permission allows you to view generic resources in the Resource Planning view. Based on your permissions, you can create project plans for them in a team or individually or assign them to other teams.
Select the pencil icon next to the generic resource name in the Member's list. The details let you know who assigned it to the team and the date it was assigned.
Edit Generic Resource Members in Teams
To edit generic resources, you need to have or Manage Team permission on all teams where the generic resource is a member of, or have Manage Team/All Resources (Full) or Tempo Team Administrator permissions.
To edit a generic resource in Teams:
Select the pencil icon next to the the generic resource name to edit it.
The Edit Generic Resources window is displayed.
In the Name field make changes to the name and select Save.
The Created by name and date are displayed, as well as the Last updated by name and date.
Remove Generic Resources
You need to have Manage Team/All Resources (Full) or Tempo Team Administrator permissions to be able to remove a generic resource from a Team.
Removing a generic resource from a Team will also remove any associated plans assigned to the resource.
You may want to remove generic resources for the following scenarios:
A generic resource assigned to the team might no longer be needed. This generic resource can still be part of other teams.
Delete a generic resource permanently from the system. This removes the generic resource from all associated teams and all assigned plans. Generic resources are permanently deleted from the Planning View page.
After reassigning plans from generic resources to a user, replace them with a team member. It's recommended to remove the generic resource from the team and add a new team member. See Recommendations for reassigning generic resource plans.
To remove a generic resource from a Tempo Team:
Select the trash icon next to the generic resource that you wish to remove.
Select Remove to confirm.
This removes the generic resource from this team but does not remove its plans. This generic resource remains available for other teams and any required planning.

Recommendations for Reassigning Generic Resources Plans
When it is time to reassign the plans allocated to a generic resource, it is recommended to reassign the plans in the Planning view before updating the Team. Reassigning the generic resource will keep the associated plans and move them to the new user replacing the generic resource.
To reassign plans from a generic resource to a user:
In the Resource Planning view, reassign resources by moving the allocated plans of a generic resource to a user.
After successfully moving the plans to another user, remove the generic resource from the Team member list.
This generic resource remains available for reassignment to teams and for planning.
Generic resources can be reused across teams; however, if you wish to delete it from the system, you must delete it in the Planning view.
The same resource can be assigned to other teams or to multiple teams at once. Deleting a generic resource permanently will also delete all assigned plans.
